I have a tenant who just moved out. I asked him for his new address so I’d know where to mail his damage deposit refund. He’s saying he will not provide me with that and instead wants to meet in person. I’m not comfortable doing this. He was a great tenant for three years - until his GF moved in. Then both of them became argumentative and started complaining about all sorts of stupid stuff. I didn’t renew their lease as a result, and they were very PO’d. There’s nothing requiring Ohio landlords to meet former tenants in person and physically hand them their deposit refund, is there? If he doesn’t provide me with an address, what do I do? --72.49.xxx.x |

I always tell tenants their deposits are held, according to law, in a TRUST account which does not have checks. I can have their refund checks sent from the bank, but I do not co-mingle the funds BY LAW.
Shuts 'em up. GOOD tenants, I will Zelle which is most of them. Bad tenants (in the past) get a check sent to a valid forwarding address by the bank. --173.28.xx.xxx |

I would tell them no once, then text so hopefully i get a written response then i would tell them it will be sent to last known address which is the rental so they better have a forwarding address,if no forward address it will come back to you and leave it unopened in the envelope and put it in tenant file,if they sue you then you give it to the judge to open.There is no need to run all over town to accomodate a tenant you needed to tell to leave.i would then not speak to them again.

I have many x-tenants that go crazy over receiving less than 100% of their deposit money back, when it comes to money, 90% of people act different over money.
This is why our state of CA has a mandatory Pre-Move Out inspection, where a landlord provide an estimate of repairs -- given the tenant to get repairs done cheaper.
One time roommates, two actresses when crazy over a $380 deduction and the refund of only $1,120. They sued me in small claims court. One of the women said I forced her to have sex with me when she felt short of her half of the rent.

I agree with all above. Well, except RobertJ and his wild story.
I have 45 days to return the deposit or the sheet showing what the deposit was used for.
The only time I take close to that is if the tenant was being a jerk.
You need a forwarding address. If they refuse to provide one then mail the paper and/or check to the rental. If they didn't have their mail forwarded then you will get it. If they did forward their mail they will get it.
If they owe you for damages there are ways you can find out where they forwarded the mail to.
I see no need to meet an ex-tenant face to face. They are not my friends, it was a business arrangement. When I owe money to my HVAC guy I send him a check, or electronic payment. I do not drive to his house, knock on his door and hand him the funds. I am also not going to meet him in a dark alley somewhere in the middle of the night. --47.248.xxx.xxx |

In TX, we can send it to the last known address if they don't give us a preferred address. So in my move-out letter, I tell them to let me know where to send it-- or make sure they have mail forwarding set up if they're not comfortable. But in the original lease, they're aware that the refund will be sent within 30 days, certified mail, return receipt requested. The only time I've made an exception to that are for some of my more nomadic tenants, who aren't exactly sure where they're going or what their plans are, just that they're leaving town to go somewhere else. --137.118.xx.xxx |

In New York we only have 14 days to return a security deposit with letter explanation. Even worse than California which is 21 days.
Sorry checks get mailed certified to forwarding address. Mr Casanova wanted to meet in person instead of getting a check although he reluctantly gave me his forwarding address after I stuck to my guns. --172.56.x.xxx |

Oh, yeah - do NOT meet them in person! That's not safe. Robert is right about how people can go crazy over "their" money.
What I would do/have done:
"We will not be able to meet in person. That is not our company policy or the legally required procedure. Your security deposit and accounting will be handled in accordance with the VRLTA. If you do not give me your forwarding address, it will be sent to the rental address. Make sure you tell the post office your new address, so they can forward it to you. Have a nice day."
Of course, this would all be in writing - either text or email - because I would not be speaking to them on the phone.
Actually, move-out instructions include to set up mail forwarding. So this would be a reminder to do that. --72.218.xx.xxx |

In reality today, I receive move-in funds via Zelle & typically return them the same way - to my MTR's.
They truly may not yet have their semi-permanent new address yet, and they are familiar and comfortable with doing things electronically.
I'm assuming you got the money in a more "traditional" way, by money order or cashier's check. Then I would return it in a more "traditional" way, by USPS. --72.218.xx.xxx |

My understanding is Ohio requires the security deposit along with an accounting for any deductions to be mailed within 30 days to the last known addresses which would be your apartment if they do not provide a new address. Send the required paperwork along with the check CERTIFIED to the last known address that you have for them. In this case it is the address of your place. In a few weeks, you will get the certified back and able that you attempted to comply with the law but the tenants were less than cooperative.
That gets your rear out of sling, but it doesn't address process improvement of your business. When a roommate moves in the dynamic can change. You are living proof. As the manager you need to help control that change by re-doing the move in orientation and setting expectations. Some how that doesn't seem to have occurred in a fashion that yielded the desired results you seek. I would be eyeing that process in detail --67.140.xx.xxx |
