Have they told you they are moving?

Do you want them to leave?

Are you planning ahead for someday?

The last gives you more time to tweak it, of course, but in general:

Tell them everything they must do before they leave.

That typically includes instructions for cleaning, How to return the keys, How much deposit you are holding for them to get back, give their forwarding address, etc., etc.

It's also a good idea to go in now to inspect and plan what will need to be done to re-rent it, if that is your intention - or to selloff you want. --68.229.xxx.xxx

The tenants are moving the end of June.

I want to be on top of it since I know they have a lot of stuff to move and are on the third floor.

So I want to give them the required information to be sure they are aware of what will happen and what is expected.

I'm guessing after 17 years the security deposit you are holding is very little...? I'd offer information in utilities, cleaning and keys. I'd expect to return most of all of the deposit. Perhaps only deduction would be if the didn't even try to clean or left items that I had to pay to have moved out or didn't leave any keys or had changed locks according to any clauses in the lease. This letter is confirmation that we received notice of your intent to vacate the home you are now renting. You must be out by February 29th by Noon or another month’s rent will be due. If there are any unanticipated problems with your move out, let us know as soon as possible.

SECURITY DEPOSIT: In order to prevent any misunderstanding regarding your deposit, move out instructions and procedures are enclosed. The accounting and remains of your deposit will be mailed to your forwarding address within 30 days. Last month’s rent is not prorated and must be paid in full. The security deposit is not for paying the last month’s rent, it is for potential damages.

PRORATED RENT: Per your lease, if you return the keys / move out any later than the last day of the month, the next full month’s rent is due.

Last month’s rent is not prorated and must be paid in full.

Please call the office at xxx-xxx-xxxx when you will be completely moved out in order to return all the keys, remotes, and garage door openers.

Do Not Shut off the Utilities. Management will call the electric, gas, and water utilities and transfer them out of your name the next business day upon receipt of the keys. You can terminate cable, internet, and private trash service.

Please give the US Postal Service your forwarding address as well as Amazon, Overstock, Ebay and any other delivery or online services you may use.

House Cleaning Instructions

Inside first, each room, top to bottom

1. Clean fan blades, dust globes, replace burned out bulbs

2. Clean windows, inside and out, including the sills and sash

3. Replace any damaged blinds (if unable let us know and we will replace them)

4. Walls dusted and all dirt, smudges, & grease washed off (Magic Eraser helps)

5. Clean closets, shelves, & rods wiped down

6. Dust baseboards then sweep, wash, and clean the floors

7. Clean all bathroom fixtures – toilets (no rings, yes behind it), bathtubs & showers (no soap scum), sinks, and wipe down the inside of the cabinets and drawers

8. Clean the kitchen, removing all dirt & grease from sink, fixtures and wipe down the inside of the cabinets and drawers

9. Clean inside, behind, & between the stove, microwave, and refrigerator (yes you have to pull out the stove and frig and get behind it)

10. If you have carpet, you must professionally clean them. Include receipt for verification or you will be charge a carpet cleaning fee. Contact Able, Jaimes, or Lahr Carpet cleaners.

Outside

1. If you didn’t wash the windows from the inside, use Windex Outdoor Glass & Patio Cleaner attached to the garden hose to clean the outside of the windows

2. Mow the yard, trim the bushes and remove all debris. If you don’t have time, call a lawn service to do it for you (if single family house).

3. Propane tank returned to a FULL condition (if so equipped).

General Notes

1. Remove ALL of your possessions and trash including all items from attic, crawlspace, basement, yard, shed, etc. Do not pile it up at the road unless you are sure the city will take it away. Do not put trash in the recycling can, you will be fined by the city.

2. Make sure there are no outstanding utility bills

3. Return all keys, garage door openers, and remote controls.

4. ALL light fixtures are to have working light bulbs in ALL bulb sockets

5. Forward your mail and Amazon deliveries. Stop private trash service.

6. DO NOT SHUT OFF THE UTILITIES (Electric, Gas, Water)

We want to return your whole and complete security deposit! It means we don’t have to fix things before we rent it again. Leave the place CLEAN and READY to OCCUPY. Think of a hotel room, you don’t clean it before you put your suitcase down. If a future landlord calls, we can say your whole security deposit was returned. That’s always a plus in landlord’s mind. If you don’t have the time, ability, or energy to clean the house you may hire a cleaning service. Be sure to give them this paperwork so they know our expectations.

If something is broken or needs repair, let us know so we can fix it before the next tenant moves in.

Any repainting, repairs cleaning, trash removal, and any other expenses associated with returning the condition of your home to your move-in condition can be deducted from your security deposit. Your security deposit will be mailed to the forwarding address you provide within 30 days after your Move-out inspection has been completed per NC law. Attached is a list of fees and charges that may be charged (but hopefully won’t).

We only expect you to return your home in the same condition as when you moved in.

Yes it takes a lot of work to clean the house from top to bottom

but it was done for you before you moved in

and now it must be returned to that condition.

I don't tell them to shut off utilities. No electricity or water and they have to use the bathroom, not pretty. I have some that don't call. I stretch that out. If they are gone on the 30th and I can confirm it, locks get changed and then I call. I never take thier word that they will be out when they say. --73.230.xxx.xx

I'd go over now and take a look at the place ... what you have to do to rerent. I assume minimum paint and flooring updates, if not other cosmetics. THEN I'd tell them what I expect. One example in one of the above responses I see clean ceiling fans and baseboards. If those are going to be replaced, why would you have the tenant clean them?

My biggest concern would be that everything is out of the unit AND removed from the property. Tenants in my area (including mine) tend to do a massive purge of their stuff at the end.... and the regular trash doesn't pick up furniture, massive piles or even excess bags. --98.237.xxx.xx

After 17 years, I am not as hard nose as Bonanza. There are plenty of things that are expected to break in the course of 17 years. So this largely depends on how involved you have been in the place over that 17 years.

If you are more hands off on your long termers, then blinds should be expected to be gone by year 10. --24.101.xxx.xxx
