Waiting a little bit sometimes clarifies what needs to be done in a maintenance situation. Part of that is my "all calls go to voicemail" philosophy, which gives me a chance to listen to the voice message, evaluate the situation, make contact with service personnel as needed, and sometimes ... the situation resolves itself. Take a peek at this morning's event:

Commercial Tenant text: "The pilot light on the furnace won't stay lit!"

Me... (waits 8 minutes)

Commercial Tenant text 2: "Never mind, it just needed to have the dust blown off of it. I got it lit and it's fine."

Saved an $80 service call from the HVAC tech. Yay!

Now, since the tenant was not receiving vital services for.... 8 minutes.... how much do I prorate off their rent? If I did my math right on their $900 per month unit, that would be $0.17. But do I also need to further prorate since the heat system only represents about 8% of the value of said building, which would then be 1.3 cents?

Yes, I kind of use the ‘0101’ approach.

If safety related, I wait 0 minutes, call immediately

If something that I think they might resolve themself I call back in 10 minutes after thinking about the best approach or seeing where I can get parts

If they are wondering about something that is not related to the lease or some goofy request like “I know you told me the laundry is in the basement but is there any way you can move it upstairs?” Then I wait one day…hopefully they realize how silly the request was or the effects of drugs/alcohol have worn off --99.92.xxx.xxx

Ken,

Going forward with new leases, that is being offloaded. The tenant has an annual $500 deductible on HVAC repairs and also the responsibility for servicing the unit 2 x per year using a professional HVAC company, plus changing filters 4x per year.

This property was one of my first acquired and still running with some outdated leases.
