I’ve recently automated the reminder emails that I normally send out to my tenants and I’m out of ideas on what else to remind them of.

The automation pulls the lease start date from their application and sends them a reminder email when their air filter is due to be changed. It will send them every 30 days if they have pets or every 45 days if they don’t. It also has information about the filter with size (specific to their property) with a link to buy one. I also include instructions on how to change it.

I also have annual reminders for things like smoke detector battery replacement/testing.

I also have various reminders for countertop maintenance (different messages/intervals for butcher block or granite).

Can’t hurt to pester them. Are there any others you would add?

Great System Jason, congrats, I think you cover all, Yearly or Quarterly Maintenance visit that includes Plumbing check for leaks, test the smoke detectors and the fire extinguisher if you provide them, check basement for any unpleasant entry in and out for mices and others critters... Check water tanks, heating system etc etc.

Pest Control visit.

If they have carpet a reminder to do a deep cleaning once a while depend on the tenant.

In these reminders, also note where is your website, how to report maintenance issues, bla bla bla...

Maybe once a year a survey to know how you doing, what needs improvement bla bla bla.

I think I would use this to remind them of -The maintenance Staff- visiting to change the air filter - 3 months should be enough, and do the smoke detector test every other visit - I want to know these things are working in person. --76.190.xxx.xxx

Maybe have a database for your scheduled on-site work and have it automatically send all the proper notices days before each visit. All you have to do is schedule the repair and the rest of it is done automatically.

Could send receipts/invoices, etc.

If you have IP cameras, you could set them up to send you a photo if motion was tripped after dark. --108.69.xxx.xxx

You are in Virginia, not sure how cold it gets but maybe reminder before the frost to remove any hoses from exterior hose bibs.

If you have houses with crawlspaces that have adjustable vents, they should be open in summer and closed in winter, although this is one I'm wary of having tenants do because the vents can be easily damaged...depends on the type of vent.

Lastly, maybe a "tip" on how to make their waste disposal smell good...by using vinegar and ice...they will do the maintenance for you! --99.92.xxx.xxx

I'd be weary of inundating them too much because they might get automatically deleted. If you keep with the email stream you might try mailchimp or constant contact to track who opens them. Otherwise I believe larger RE groups have newsletters that people might open at a higher rate. --24.194.xxx.xx

Depending on your furnace and tenant pool, I'm leary of tenant changing furnace filters. Just last week someone did this without telling us and before our scheduled maintenance. Furnace did not come on because the furnace door was not closed properly. --75.11.xx.xx

Mix in some fun stuff, riddles, Happy Thanksgiving, etc. so they will read the emails. Young people want to see some "authentic" personality in messages.

ME? I use SimpleTexting and send text blasts. They can be scheduled in advance.

Statistics show people do not open emails any more, ESPECIALLY younger folks.

MY 40 year old children do not look at emails.

Statisitcs show that almost EVERYONE at least LOOKS AT the text because it's on their phone and that's how they watch foe messages from their friends.
