Wanna share checklists? I have all of Jeffrey's so I'm actually really good, but there's always a gem hidden out there in the Hive Mind...
My best personal checklist is of course our Ready To Occupy cleaning checklist which has saved us thousands of dollars, hours of time and helped us maintain much good will with both incoming and outgoing tenants.

#1 is Turnover checklist - office page and house 4 pager.
Forgetting to shut off utils can be costly!
Forgetting a repair or cleaning details at the house creates go-backs.
Checklists make delegating easier and contribute to my FREEDOM!!!
Painting- interior and exterior checklists tells the painter and sets the price.
New property Intake checklist.
Selling property checklist.
Court checklist.
I pay a spiff on top of hourly - $10 for each completed checklist.
Recently the need for INSTRUCTIONS/ HOW TO has become critical because we now use so many (52) online sites - how to do Zillow, watermarks, virtual staging, our website, autodraft, those odd bills, recurring bills, e-bills, text blast, respond to inquiries, usernames & passwords.

My best checklist is my Monthly Rent Tally Sheet which gets re-printed each month and when a tenant pays rent, the date and amount get entered and a big checkmark is added. This 'system' is about as old fashioned as you can get but it still works like a charm. I can tell at a glance (without a computer) who has paid and who has not. --71.207.xxx.x |

I hire clearners who must first show me their checklist. If we do one go-back....okay, everyone makes mistakes. Two... I find a new cleaner. No point in having a checklist if you're not going to use it.
My most useful list right now is my "Outstanding Balance" list that Buildium generates showing me who still owes what. Second is the "60 days until least expires" list. These two keep me on top of rents and renewals.

I have a sheet that has rent due date, tenant name, tenant phone number and method of payment. A quick glance will tell me if there is EVER a payment issue that needs identified.
This allows me to reach out to get involved after a couple of days. I am always amazed when I see that people wait 7 days , couple of weeks, or even months to act. Things are not going to get better. My Dad was a bookkeeper, he worked for a newspaper company for years. I use one of his old timey green ledgers with rents at top and the insurance and taxes on bottom half of sheet.
Names across the top, months down the left side of paper.
Other expenses are kept in a different folder.
We do have a CPA that does all at the end. We pay quarterly taxes. Virginia has passed legislation that I have to pay electronically now. So got to figure out how to do that, will be new.
My passwords and credit card info is on a list but I'm still carrying a lot of junk in my head. --47.133.xxx.xxx |
