When you have more than one property for rent and they are in two different directions with two different needs what organizational things do you do to keep everything straight? So far the spiral notebook is working well, but I am getting request for information from so many sources, emails, text, specific site inboxes, my own inbox, phone calls, that i just turned my ringer off and everything goes to voice mail and then a few times a day I sort thru it all, writing it all down in the spiral note book and returning calls. So many times a reply doesn't have anyone name and I can't match it up. Then sometimes potential renters forward my information to someone they know and I have no written record of speaking to them and things get lost like: it a no smoking/vapor home. The NORTH property has different specification and than the SOUTH property. That I can keep straight cause I'm very familiar with my homes. Was having difficultly scheduling viewings until i just decided every other day - today is NORTH and tomorrow showings are SOUTH, that is working very well. What things do you do to keep your notes and showing organized ?

I have a few rentals open now as well. I actually try to answer my phone when I can (if I'm busy then hopefully they leave a message... no message, no call back though).
Anyway, yes I too use a notebook. When I am speaking with them I ask what property they are calling on. Most have no idea or will say things like "umm... what do you have available?" which is frustrating at times because they are just looking and I have a wide range of places (1 bed apt, 3 bed apts, and a house ... so the range and rules are different on most of them).
So it's either the notebook if they are responding via email and it's not one that has a log of leads that I can update or if it is, then I update through that site (my conversation, appt if made, all their info, etc).
I folder all emails by the address of the property once I have responded or spoken with them. That's it though. Many times they never call back or respond to an email inquiry (or will say "I'll call you back in an hour" and never do). I don't chase them down. --69.201.xx.xxx

I got this tip from the board last year: put an action item in your ad. at the top of my ad it says " Minimum credit score: 700, please include in response if requirement met"
So if their reply does not include any mention, then I ignore them. This cuts down on the number of inquiries I have to deal with by a lot.
I also only use email inquires (from zillow, zumper etc) so any notes simply go into the draft gmail reply attached to their email inquiry. Everything goes along! --50.4.xxx.x

With my automated system, one of the questions the prospect checks off is what property they're interested in. The selection they choose contains a picture of the property and my pre-screening auto-rejection email then approves, or rejects based on that property's criteria. --50.202.xxx.xx

I donít use voice calls for leasing. I use text. The header of the marketplace or Zillow respond link provides the pertinent information.
I respond via text, and in addition to viewing instructions and application link, I include address, rent amount, and deposit amount.

I only correspond with prospects by encoded anonymous emails. No phone calls (never) and I only speak directly to prospects when they come for a viewing. Then I can see them, make sure they are aware of everything that was in the AD (which I make very specific). If anyone asks a stupid question, I write, "Please go back and read the AD carefully, everything you need to know is in the AD" Works well. If they seem interested after viewing, I offer an application on the spot. It also has concise information that they can read. Most 'lookers' never return the application, but the 'good' ones come back usually within a few hours with all the proper paperwork for me to look at. It helps when I only have ONE rental at a time to deal with. --174.65.xxx.xx

I use a combination of text msgs and our website. All details that answer 95% of questions (how much is the rent, do you allow pets, how many bedrooms, who pays utilities, does it come with appliances, who mows the lawn, etc) are listed in the ad. I also have a page called "Qualifications" and "Animals".

I do not return phone calls. Why not?
Because when people establish a channel of communications, people tend to stick to it. I do not have the time nor the desire to have my phone constantly ringing off the hook. Rather, I have texts that I can file and respond to at my convenience. Saves time, saves effort, creates a "paper trail" so there's no, "Well you told me I could do X on the phone."
Consider adopting and adapting this process to your needs.

Now the number of vacant rental units, houses is starting to go down a lot of the problem tenants are hoping to start another trash out rental experience. Minimum credit score of 700 and above along with utilities must be tenant before moving in and all adults must return completely filled rental applications along with providing three pieces of photo copied identification. Problem trash out tenants are looking for keys not credit checks then sneak in without having utilities in their name. Three months of unpaid rent along with not paying utilities can add up to living for free after year. --216.110.xxx.xxx
