Criteria list was provided at showing, Applicants signed it, filled out an application and paid application fee. I didn’t want to deny them the opportunity to apply- isn’t that a thing? Against the law to deny someone a chance to apply? They don’t qualify. So, do we write, text, or call them with the denial? Do we tell them the owners will be choosing someone else, or do we tell them exactly the 3-4 areas they fall deficient in. An obvious one is that the breadwinner is only on the job one week, the HR person said the probation period is 90 days. Our criteria is to be through your probation period or on your job 6 months. Any advice on denying them, as they will probably throw it back on us, “you didn’t tell us”. …. and want the application fee returned. They are probably shooting in the dark hoping to get into a place, especially a private owner situation. Thanks --76.242.xx.xxx |

If you used credit to make your determination, then there is a specialized form that you must provide to them so that they can get a free copy of their credit report.

If you reject an applicant due to their credit report, then there is a form you must provide them so they can get a free credit report. If you didn't run their credit and that wasn't the factor, then your local City/State may have curtain guidelines.
If you never committed to paper your minimum requirements and had it date and notarized prior to showing your rental, you may be accused of discrimination.
I have my criteria for each property and each unit. For example I have a single no bedroom unit that I limit to two people, also mine are no-smoking units. So if someone shows up with 4 people and smokes, I documented I won't that such a tenancy. --47.155.xx.xxx |

I don't tell them exactly why just give them a check mark in front of one of the below categories. Everyone who fills out a complete application and I ultimately deny gets a letter and an email.

Employment / Income – Employment could not be verified, Irregular or temporary employment, Income could not be verified, Insufficient income

Rental History – Could not be verified, Delinquent rental payments, Prior eviction, Disruptive behavior reported, Late rental payments

To J (Fl): The apartment association I attend recommends a criteria list so that we present the same requirements to each applicant so that we do not get accused of just picking and choosing different standards when different people apply. Oh OK. Personally I would not give them that until the law forces us too.
Here is how I've been doing it:
I do a pre-screening first, via email. I want to try to weed out the Pitbull owners, animal hoarders, people who want to move four months from now, those with insufficient income, etc without ever having to waste time meeting with them. I get their first and last names in the email and look them up on the county clerk to see if they have evictions or felonies, although if they have a common name that doesn't work well.
Then if they get past that, I set up a showing, grouped 15 minutes apart from other showings I'm doing on the same evening.
If they choose to apply, unlike some others who post here, the credit report is the first thing I run. Even though I have to pay for it and mail the letter I prefer doing that to checking with employers/landlords first because that can be time-consuming. I find that about 80% of the people don't make it past the credit report. So then I move on to the next applicant/showing. --72.188.xxx.xxx |

Then if you are doing that on the phone, hang up. Don't hang around waiting to have a conversation with them.
I keep a copy of my written criteria and I make applicants read it before they fill out the application and pay the fee. I tell them to read it carefully because I don't want to take their application fee if there is any reason that I can't accept them.
If any rejected applicant wants a reason they can send a request in writing and all I send back is that they didn't meet the written criteria that they saw before they applied. --76.178.xxx.xxx |

I don't know if that is actually "a thing" but my policy is to allow anyone to apply who wants to apply. No discrimination here at my place. Anyone can apply just like everyone else.
However, most hopefuls get discouraged before they apply simply by letting them know that *whatever it is* might be a problem with their application. They don't want to pay the application fee if they know that *whatever it is* is going to be a problem.
About 75% of first contacts are done at that point after I tell them I do the standard screening things: verify income, check references, check criminal record, check for evictions. I get a lot of calls from losers hoping to find a private landlord who doesn't screen. Learning that I screen stops most of them. --76.178.xxx.xxx |

They don’t really need it spelled out for them that nobody will give them a new place for all the reasons they they are no longer welcome in their old place.
