I've added a new criteria to my list:

* Applicant must tour unit before processing application.

Why?

In spite of this "hot" rental market, I've recently had several folks fill out applications before even seeing the place, then after I've seen 30-60 minutes verifying all their stuff and getting them qualified, they go by and declare it's "not really what they wanted."

My guess is they are putting in apps to lock down several different units because everything is renting quickly, and then they have more time to check thru them once the land lord thinks they have a qualified applicant.

So instead of wasting time on people who don't know what they want, I have now made that the top line item on my screening list. I won't process an application until they have toured.

What about out of towners?

That hasn't come up yet, but my thought is they need to send someone over to look at the place for them, and I may require an extra processing fee to cover my time in case they back out after all.

Any other ideas are appreciated.

Sid, my policy has been that they must view the house first before I will give them an application. I do ask prequalification questions before setting up a time for them to view the property. I also prefer that the woman see the house rather than the man, because I have had a few times that the man has seen the house and then the woman says it won't work for them. --149.19.xx.xx

I disagree. 15 years ago, the owner of the largest property management company in our market reported that they had more than 50% of their rent ups completely online, meaning no in person viewing.

It may work for a non mobile clientele, but would serve to exclude your house from consideration for relocating families. --67.43.xxx.xxx

How would you handle couple? Maybe the wife is busy so the husband comes to see it and thinks it's fine, then the wife doesn't like it in person.

Charge application fee and holding fee to compensate you for people who change their mind between application acceptance and lease signing.

But I would want to know what would cause an applicant , after seeing 30-50 high res photos of the place, to change their mind after viewing it in person. That would be good information to know as a ll --50.4.xxx.x

I have yet to have accepted applicants back out of a lease signing due to seeing the house in person. (I have had them change mind due to change of plans or not liking lease terms).

So if this did happen to me, I would be very very interested to know what I am not capturing in the photos that they see in person and don't like. Is it the layout of the house (1 story vs 2) ? The distance to neighbors?

Raising application fees to $95.00 would likely accomplish the task of eliminating the applicant who is trying to buy options to lease with their application fee.

IMHO, requiring in person viewing locks you into the pool of tenants moving from one rental in your town to another rental in your town. They are not motivated buyers and are constantly looking to move to another house in your town if it is priced $20 cheaper per month....hard to push rents with this crowd. --67.43.xxx.xxx

I've rented to multiple people moving in from out of state. Usually, the husband or both husband and wife come to town to be able to evaluate the neighborhood, location, etc. When this is done, I've never had any issues.

My mom once rented a house to a friend of the previous tenant who was moving in from out of state. When they got there the wife was almost hysterical because there was some mildew in the corner of the basement wall by the sump pump. We told them we could give them back their money and they could find a new place. The husband, who came into town to finish his medical degree, was able to finally calm down his wife and explain to her it was just mildew and not "deadly mold". They were there for two years until he finished his degree. --149.19.xx.xx

Not only view in person, but everyone 18 and over in the rental party must view the rental in person. I don't want tenants who think they should have rented a better place. I also don't want tenants that have difficult attitudes or tenants who are lying about smoking. (sorry, dude, if you are a smoker, you stink and I can smell that you are a smoker)

My out-of-state tenants who are moving to the area have always come and spent a few days looking at rentals. I give them an appointment to view during the time period that they are in town.

I was thinking that you were already doing this. I guess I was thinking about the lock box showings. My new tenants are from CA and they were already in town and so they viewed the property before filling out an application.

I had a few people from out of state wanting to apply but they would not be able to view first. I really was and still am unsure of the best way to handle that situation. One couple, I sent them photos of the outside to give them an idea of what they would see. There is a commercial mixed warehouse across from my property and there are some boats stored there and they didn't like that view. --73.120.xx.xxx

I have never accepted an application unless they've been inside the unit. I personally cannot imagine anyone turning in an application, let alone paying a fee, for a place they've never seen. I get local applicants. I cannot remember even one from out of the area. If I had that type unit, I probably would need to rethink my methods. I regularly rent to people without them viewing the home, but only the ones we’ve built since 2011. Just took a holding fee from someone coming for a PhD and all was done by email and with a folder of photos.

I’d say it depends on the type of home. The Class B homes I am not worried about renting sight unseen. Now some of my Class C? Yeah, I want them to see the house. --67.43.xxx.xxx

Many of our renters are from out of state-- or should I say interested clients. We tell them your renting for at least a year and if you haven't set aside time for viewing well that's on them.

The process takes less than 3 or 5 hrs not days so if you want the BEST house available-- you'll need some patience.

Sounds like we may be a minority. No one sees the apt without 1st completing an application. We can hundreds of leads, calls, emails and FB private messages daily. There is no way I am showing anyone an apartment without an application completed online 1st. I only show to those that are pre approved. After they have seen it and want it, then I start collecting their real info, proof of income etc. Of the hundreds of applications, only very few people are qualified to view. I rented an apt last week to the only person to see it, who was pre qualified.

We have rented to lots of people from out of state or country, sight unseen but mostly graduate students from other countries or states. Biggest time waster in my opinion is communicating to anyone about an apt unless application has been completed, 2nd time waster is showing apts to people not pre qualified. --73.227.xxx.xxx

We've done as you are doing after having some poor experiences with adults who moved in sight unseen. We now require all adults over 18 who will be living there to meet us in person, and we cheerfully "encourage" those who have minors to "bring everyone, so they can all see how they like the place." The last gives us a real picture of how the family functions, or doesn't.

I usually handled finding tenants on my own. due to being out of state, i hired a realtor to find a tenant. Found one, approved, moved in, didn't like the area, and due to "fast processing" she was able to break the lease using the three day attorney review period applied to all contracts in NJ. UGGGGH! So, got a new tenant.... he's been there six weeks, and although he moved from NYC, he's "afraid".. someone knocked on the wall. Good grief!!! Distribute the rental application online. Tell folks to complete the application Have an open house. The applicants bring the completed application and the processing fee. If they like the place, they will hand the landlord the application and fee, and the landlord can do the background check, etc.

I have always required that they obtain the application from me when I showed in the unit.

And I always require minimum of 2 1/2 years of local rental references.

This makes it pretty simple.

Once I qualify someone, I email them the documents required to rent by law here: lead pamphlet and disclosure, lease, rules and regulations, application. Then I ask them to review all before they view the place and come with the application completed, credit check amount, and to email any questions ahead of the viewing. This serves several things for me. First I have a record of giving them the required documents. Second, the ones that show up prepared stand out and save me the in person time, as I show often comments are made that let me know nothing I sent was even looked at, so those lookers are out...and if anyone doesn't like the lease, they should know before they come. I would never even consider renting to someone I had not met in person. Maybe I'm old school - but I set up open house times and everyone that will be living there must come in person. I've had some people get upset - her husband had to work, couldn't come to look at the place.....sorry - I have to meet everyone, EVERYONE, children included. I was ready to take an application from a couple with 3 children. They left the kids in the car - I said bring them in, I'd like to meet them. The children were hellions....they would have destroyed my house. No thank you...Plus, I have been told that you have to witness their signature in order to run a credit report on them......so not sure how that works for some of you. I've met other folks that I could tell would not take care of my place and it's just not worth it to me. I want good, clean tenants with good credit. --24.235.xx.x

I do not rent to anyone who has not seen the property or neighborhood. My experience has been, they will take your place bc they just relocated or had to move. When the year is over, they leave. I pre-screen everybody first and ask them to drive by. Out of state prospects, must tour before they receive an application. No exceptions. "I don't want to waste your time". Lately, nobody wants to pre-screen, they just want to tour. I'm the boss and I set the rules. I don't respond. The way the relationship starts out is the way it will end.

I'm an out of state landlord for 20 years. I have a tenant in one place for 3.5 years, just met them this year. Another tenant in my place for 8 months, never met her. --174.249.xx.xxx

We get a lot of folks wanting to do virtual tours and such, and even through Covid we said no. It isn't just about them liking the unit or the neighborhood and being comfortable, it is about us knowing the person who is renting is the person they claim to be.
