Tracking old applicants pays off. I can barely remember what day it is, let alone people who have inquired about our places, especially if no application, just inquiry. But I remembered this guy, he's listed in red.

So thanks to our prescreening questions feeding to a back-end Google Sheet, I was able to turn down a real trouble-maker from a few months ago. I mentioned him here: he called me multiple times in a row, texted me, swore at me, threatened to keep calling until I reminded him I had his name and number and that it was now harassment. Also because I had already rented a place he wanted to see.

Today his GF inquires...mentions him as the second occupant...obviously doesn't know about our previous encounter.

Anyway, shot out my "attitude" email (one of several pre-set emails I have) and let it be. --50.82.xxx.xxx

I have the conditional formatting on my spreadsheet set up to highlight duplicate entries for telephone numbers, names, and email addresses in bright yellow. If anyone fills out the form more than once, it'll grab my attention.

I make additional notes on the weirdos too, but highlighting helps me to me keep track of how often people are hopping around house to house. --73.177.xxx.xx

For instance, just had a guy tell me they had just acquired seasonal jobs here and were sub-letting their place up north. My auto-email says we don't do seasonal, only long term. He writes back "Okay we'll sign a year's lease."

WMH, on the spreadsheet select the column that contains the data you'd like highlighted. Right click and then select "conditional formatting". Click on "add rule", then

under "format cells if" select "custom formula is".

The custom formula is =countif(B:B,B1)>1 and then under "formatting style" select the color you'd like it to highlight. Just change the "B" in the above example to whatever column you're working with.

Then if any data in that column is duplicated, it will highlight the cell. The only drawback is with telephone numbers. It won't recognize (123) 456-7890 and (123)456-7890 as a duplicate. This is why I configure my form to only allow numbers. No spaces or symbols: 1234567890. It makes it easier for the sheet to track duplicates that way. --172.56.x.xxx
