Assuming you more than 5 tenants, how do you separate your tenant phone contact information (tenant names/ phone numbers) from all of your personal contacts? Do you have multiple cell phones, one for tenants only and the other for personal non-business contacts? Or do you just use one cell phone for everyone who calls,...business or personal?

When your tenants call for service, are they dialing a cell number, land-line or Google Voice or what? Do you have their names recorded in your phone so that your caller ID will tell you who is calling? --68.63.xxx.xxx

I keep all my prospects in my contacts. Because our market is isolated, there's a good chance I'll hear from them more than once. So a prospect starts off as 0419 Walnut Prosp Suzy Smith Husb Smokes 2 Mixed Breed Dogs or 0318 101 Cherry Prosp Henry Higgins Microsoft 2 Cats. It's clunky, but it's enough information to jog my memory when I answer the phone to someone I've spoken to before.

If I end up renting to them, I edit Prosp to say Tenant. So if I ever want to find them in my contacts, I search for the address + tenant as a keyword to bring up their information.

My tenants usually call my GV number, except a few who have my personal number. (Usually because they had reached out to DH and DH steered them to me.) But since they're all calling the same cellphone-- it brings up the contacts just fine regardless of which line they dial. I just have to remember which number to text them from. --166.137.xxx.xx

In my phone by house #, unit then Name. 101B John Smith. I also create groups if it's a multi-unit so I can text them all at once.

They get my Google Voice number. Almost no one calls me, they all text.

Although I did get a call yesterday: tenant didn't latch storm door properly and it blew and broke in the big storm recently. I told him we got out of the storm door business years ago but if he wanted to replace it, feel free. --50.82.xxx.xx

My office phone is a cell,that is the only number my tenants have of mine,i do have a manager now for all but 4 units so I only hear from those 4 and the manager deals with the rest of them on a daily basis.I put them in both my office cell and my cell I carry daily as John Doe,Jackson st.I cant remember there last names but I do remember what street they live on.I advertise heavily for my flipping business and those callers go directly to my cell that I carry,wont take the risk that neither myself or my wife are not in the office to answer the phone because generally sellers wont leave a message. --72.231.xxx.xxx

I don't answer if they call and I also do not call them back if they don't leave a message.

If their message is vague like "please call when you get time", I'll text in an hour or so and tell them I'm in the middle of something and ask them what's up?

I want a record of the conversations and I don't want to talk to them.

I do this for a living and my cell phone IS my work phone so I store tenants names and information as normal as well as any other client, customer, etc.

I do store a few "extra" in there such as "NO SHOW …" so if they happen to call or text I won't respond to those. A few are stored so I can block them.

I do have a "land line" but no one has that number (not that it would be all that difficult to get) - I don't "hide" but I typically will answer my phone when it rings so there isn't really a reason for people to TRY to find me. I'm an easy find for those that are looking.

What amazes me is when they said "oh, I've been trying to contact you for days …". Yeah - I doubt it. That would only mean to me that you MEANT to reach out to me and didn't. --69.201.xx.xxx

I only answer the phone if it's a friend/family. Tenants leave a voicemail or text. I absolutely hate this new game of hanging up and calling back until you answer. Businesses are even starting to do this! Blows my mind. I prioritize tenant calls and handle appropriately. --72.209.xxx.xxx

Roy, I like that my phone backs up to one of my Google accounts so that if I ever lose/break/upgrade my phone, they all just download to the replacement without angst.

I also like that if I update or add to my phone or to my contacts, it is mirrored. So I don't have to update my info all over the place. --50.82.xxx.xx

1136 is the property house number.

All the numbers are grouped together automatically in my contacts.

I started adding furance filter size after being caught a few times in need of the information.

My tenants text (maybe email) most of the time. Easy way to let me know if there is something I should check on or something is not right to them. If they call, I know it is something important, so I will answer.

Tenants only have my GV number which is set to go to voicemail. In my contacts their numbers are under the label "tenant". Most communication is by text, if I need to call by voice I must to remember to use the GV dialer to protect my non GV number. It is easier than it sounds because the notification bubble is attached to the app shortcut. --68.60.xxx.xx

I also use Google Voice. I use the Google address book for tenants and contractors only. My phone address book has only my personal numbers so I keep two separate address books.

This makes it really easy, we are going to be out of the country for several days and I have helpers phone up to take the calls, pre-loaded with all the tenant names, phone numbers, and addresses. Tenants won't even know we are gone. --50.26.xx.xxx
