WMH mentioned in the question below using google forms to set up a pre-qualification email to send to the prospective tenants. I am sure some of you are doing it too and I just haven't paid attention. Well now I am. If you use this as a way to pre-screen tenants maybe even doing this before talking to them on the phone. I am trying to figure out the best way to do this and I have not messed with google forms or docs or spreadsheet. I did get a google voice number and that has been very useful.

Sorry for the babbling. Working on very little sleep.

I'd like to know what your questions are and maybe your standard operating procedure for the prospective new tenant.

I am guessing name, address, email, animals, smoking, you got 3 times the rent in documented income, you got all the move in $? What else?

I think it was Sid who had a list of how he does it. Calls go to voice mail with instructions to go to web site and fill out form, then what?

We started using Google Forms and Sheets about a year ago to pre-screen people. There is a link on our website to the questions form. I can quickly scan their answers and send a form email to either reject (#1 income, #2 non-neutered animals #3 seasonal employment are the big reasons) or invite to a pre-scheduled viewing (they choose a day and time from a pre-set list.)

Then if all is good, we send a link to our online application form, which asks all the same questions our paper form did, only their answers populate a spreadsheet. If accepted, I use this data to create a lease, which is uploaded to PDFiller ($72 per year) and sent to them for signature. --50.82.xxx.xx

WMH - funny you say that about the income question! I recently had someone put "Yes" for the documented income question. I sent them the canned answer saying income did not meet criteria. They emailed back ANGRY that they made enough income and if I didn't want them it was my problem. To me, it was just strike 2 and 3, you're out! LOL --98.175.xxx.xxx

I send them an email and ask them to respond to three questions. One is why are you leaving the place where you now live. Two is: How many people will be living in the apartment. Three is: How will you be paying for the apartment. These three questions manage to tell me everything I need to know. I always get a deposit from the first one so I can tell all the others that I have a deposit. Then I evaluate the first one via application and credit check and interview at the unit and if the work, they get the unit and I don't have to look further. We only have six units and rarely have vacancies, so I never bothered with a website. I market via Zillow Rental Manager, which generates many inquiries for my Class B apartments. I send them back a canned email thanking them for their interest. I list our requirements very directly: income (In total $$, don't expect applicants to calculate "three times the rent") total move-in dollars, credit score, no accounts in collections, time on job, etc. I email a water marked protected copy of our rental agreement and ask that they read the rules section. I then ask them to email me AGAIN, after they have read the requirements, if they feel they qualify, and if they are still interested. We then schedule an open house showing. This process weeds out 90% of the unqualified, and works well. --98.146.xxx.xxx

We used Google Docs spreadsheet in house. My screener take about a minute and enters their names so we can go back and check for previous apps.

He marks the progress of his screening steps and comments on the doc. Wifey makes the final decisions but I look over her shoulder. We can see his updates in real time, as he types, so we have the latest and greatest info at any moment.

Tiny Tidbit: NEVER write on the original app. It is your ONLY defense is sued for discrimination. If they left blanks we ask them for that info but understand they probably left it blank for a reason and what they tell us over phone or text is probably a lie.

SO...we screen based on EXACTLY and ONLY what they give us. Not enough info, we'll place it on hold and invite them to re-apply with a complete app.

I would miss many qualified people if I required a $40 app and credit check before even seeing the place. Places go so fast here that people feel ripped off by that process...they don't want to apply and pay money if there is no WAY they are getting the place.

I prefer to pre-screen because then I'm not sweating bad apps (99% of people who initially inquire don't and won't ever qualify. Better to let them off the hook without charging them for an app.) --50.82.xxx.xx
